CONTROLLER - EXTERNAL POSITION
1. Leads the financial accounting cycle, including month and year end close function &
all external reporting requirements
• Maintain all records and books ensuring integrity (particularly of the GL)
• Accountable for the financial accounting cycle – month and year end closing functions
A. Review the financial statements for accuracy/integrity
B. Prepare account reconciliations
C. Perform ad hoc analysis as required
• Oversee the quarterly balance sheet reconciliation process - understand all accounts on the balance sheet, complete reconciliations, and make any necessary changes
• Guide/prepare the external reporting requirements (particularly for the bank) and meet deadlines for the borrowing base certificate and the monthly financial reports
• Guide/prepare the internal reporting requirements (executive reporting, regional profitability, branch/regional scorecards, etc.)
• Guide/prepare flexible reporting to meet ongoing branch and management information needs
2. Manage the year end close and external audit process
• Manage the year end close process
A. Liaise with Logistics and the branches to prepare for the year end process
B. Communicate with the branches regarding the year end cut off requirements
C. Organize the year end reporting requirements and GL rollforward
• Lead the annual financial audit
A. Manage the relationship with the external auditors
B. Plan the interim and final auditors with the external auditors
C. Provide the draft financial statements and notes to the external auditors
D. Prepare audit working papers for year-end as per the client assistance package (CAP)
E. Provide timely feedback on questions and/or concerns by the external auditors
F. Meet the reporting requirements for the bank
3. Manage the treasury, banking, accounts receivable, & accounts payable processes
• Oversee the cash flow process
A. Understand the cash flow situation of the company and make efficient business decisions
B. Forecast the cash flow situation on a monthly basis and highlight any risks and opportunities
• Manage the bank relationship
A. Prepare the monthly financial commentary & answer any questions
B. Prepare quarterly business/financial updates and present to the bank
C. Review the asset based lending situation and maximize our borrowing ability thru management of inventory & accounts receivable
D. Lead the quarterly bank audits and ensure accurate results
• Lead the accounts receivable goals & objectives
A. Ensure good accounts receivable to maximize our borrowing ability
B. Provide assistance in continuously maintaining/reducing DSO
C. Assist with the customer relationship management (as needed)
D. Ensure standard practices and policies are in place & followed
• Lead the accounts payable goals & objectives
A. Work with the operations and sales to develop a 3 year business plan by
leading the process and providing assistance to the field managers
B. Present the 3 year business plan to the Executive team for approval
C. Present the final 3 business plan to the bank
D. Develop and administer incentive plans to meet the business plan
E. Prepare a monthly forecast & highlight any risks/opportunities
5. Monitor and provide guidance on asset management
• Provide the branches with information for financial review
• Fulfill requests for information by branches
• Provide timely assistance on inventory related questions and/or concerns by management and the branches
6. Financial and internal processes
• Implement balanced policies and procedures to ensure appropriate balance of financial control and business agility
• Develop strong internal control process through processes and procedures
• Through interactions with the Field, probe for feedback on processes
7. Coach, mentor, and develop accounting team
• Recruit the right skilled staff to instill a culture of efficient systems & processes, and continuous improvement
• Position profiles and objectives for all staff aligned with corporate objectives
• Conducts timely performance planning and evaluations
• Personal development staff through training, coaching, mentoring, etc.
8. Participate as part of corporate team (department and company)
• Attends department meetings, as scheduled
• Establish and maintain superior relationships with peer, branches, management, and external representatives
• Ensure continuity of service prior being away from the office, e.g. status of accounts
